How to Use AI to Write Emails That Don't Sound Like a Robot

You paste a few rough thoughts into ChatGPT and get back something grammatically perfect.

Also lifeless.

AI can write a perfectly usable email. The problem is that a vague prompt often produces the safest possible version of one.

Safe isn’t the same as natural.

The easiest fix: give it the relationship

“Write an email to my coworker” leaves too much blank.

Try:

Write a short email to a coworker I get along with well. I can’t make tomorrow’s 2 p.m. meeting and want to move it to Thursday. Casual but professional. Under 60 words. No phrases like “circle back” or “please don’t hesitate.”

That’s much closer to how real people think about an email. Not “formal vs. informal.” More like: I like this person, but this is still work. That detail matters.

None of these replacements is magical.

They’re just closer to how people talk.

Shorter usually helps

AI likes to explain. Then explain the explanation. Then add a gracious closing in case the recipient has forgotten what politeness looks like.

For most everyday email, asking for a shorter draft fixes a surprising amount of that. “Under 80 words” is often more useful than “make it sound human.”

Add one thing AI could not know

A real detail changes the whole feel.

Hope the presentation went well yesterday.

I know you’re out Friday, so Thursday works better.

Thanks again for covering that call.

That’s the point where the email stops sounding like a generic model of professional communication and starts sounding like your email.

Read it out loud

This is still my favorite test. If you would never say the sentence, don’t send the sentence. You don’t need to make the email witty or “personal-brand friendly.” It just needs to sound like a person who knows the recipient.

A prompt worth stealing

Draft a short email to a coworker I get along with well.
I can't make tomorrow's 2 p.m. meeting and want to move it to Thursday.
Casual, friendly, still professional.
No corporate filler.
Under 60 words.

Then edit it. That last part isn’t optional. AI is very good at getting you from blank page to 80%. The final 20% is usually where your actual voice lives.
